Terms & Conditions of Hire

At Velo Travel Solutions, we are committed to providing high-quality bike travel equipment and a smooth, reliable hire experience. These Terms & Conditions outline the agreement between you and us when you make a booking.

By confirming your hire, you agree to the terms below.

 

1. Key Definitions

  • Equipment: Any bike travel bag, box, case, or related accessories supplied by us

  • Hire Period: The duration from delivery or collection through to return and inspection

  • Deposit: A refundable security amount held during the hire

  • Replacement Value: The full retail price of the Equipment at the time of loss or damage

 

2. Booking & Agreement

Your agreement with us begins once your booking is confirmed and payment has been received.

By booking, you confirm that you are at least 18 years of age and legally able to enter into a binding agreement.

 

3. Delivery, Collection & Responsibility

Responsibility for the Equipment transfers to you when it is collected or delivered (including to a third party on your behalf).

From this point until it is safely returned and accepted by us, the Equipment remains entirely your responsibility.

 

4. Caring for the Equipment

We take pride in the quality of our Equipment and ask that you do the same during your hire.

You agree to:

  • Use the Equipment only as intended

  • Handle and store it with care

  • Follow any guidance we provide

When packing your bicycle and belongings, you are responsible for ensuring everything is properly secured and protected in line with manufacturer and airline recommendations.

 

5. Items Packed Inside

While our Equipment is designed to protect your bike during travel, all items placed inside are carried at your own risk.

Velo Travel Solutions is not responsible for loss, theft, or damage to:

  • Bicycles

  • Components or accessories

  • Personal belongings

This includes any issues arising during transit, handling, or packing.

6. Travel & Third-Party Handling

Airlines, baggage handlers, and transport providers operate independently and outside our control.

As such, we cannot accept responsibility for any damage, delay, or loss caused during transit, including:

  • Airline handling

  • Security inspections

  • Customs processes

  • Courier or logistics services

You are responsible for complying with all travel requirements and for raising any claims directly with the relevant provider.

 

7. Condition on Receipt

All Equipment is supplied in good working condition.

Please inspect it upon receipt and notify us within 24 hours of any concerns.
If no issues are reported within this time, the Equipment will be considered accepted and fit for use.

8. Damage, Loss & Non-Return

Damage
You are responsible for any damage beyond normal wear and tear. Repair costs may be deducted from your deposit, with additional charges applied if required.

Loss or Irreparable Damage
If Equipment is lost, stolen, or damaged beyond repair, you will be charged the full Replacement Value.

Failure to Return
If Equipment is not returned within 7 days of the agreed date (without prior agreement), it will be treated as a total loss.

9. Deposit

Your deposit is held as security throughout the hire and may be used to cover:

  • Damage

  • Loss

  • Late return

  • Cleaning or missing components

Any remaining balance will be returned after inspection within a reasonable timeframe.

10. Insurance

We strongly recommend arranging suitable insurance to cover your bicycle, travel, and any third-party handling risks.

Please note that we do not provide insurance for items placed within the Equipment.

11. Indemnity

You agree to take responsibility for your use of the Equipment and to indemnify Velo Travel Solutions against any claims, losses, or expenses arising from:

  • Your use or possession of the Equipment

  • Breach of these Terms

  • Third-party claims during the hire period

 

12. Our Liability

Nothing in these Terms limits liability for death or personal injury caused by negligence, or for fraud.

However, we are not liable for:

  • Indirect or consequential losses

  • Loss of profits, business, or opportunity

  • Travel disruption or associated costs

 

13. Ending the Agreement

We reserve the right to terminate the hire if these Terms are breached. In such cases, any outstanding amounts will become immediately payable.

 

14. Governing Law

These Terms are governed by the laws of England and Wales, and any disputes will be handled by the English courts.

15. Entire Agreement

These Terms represent the full agreement between you and Velo Travel Solutions and replace any prior discussions or understandings.

16. Acceptance

By completing your booking, you confirm that you have read, understood, and accepted these Terms & Conditions
